Clerical / Reception Job Opening

Nature of Work: This position provides reception services for the unit. Work is performed in a dynamic, stimulating, fast-paced environment with frequent interruptions. Reports to the Business Analyst.

Typical Duties: The clerical / reception position entails the responsibility for ensuring that related business operations are efficient in terms of utilizing a minimum of resources as needed and meeting the requirements of the assigned tasks effectively. The person in this position is expected to assist in the operation and management of the protocols designed to provide accurate and timely information for Failure Prevention Services. The accuracy of all records, as well as billing or financial information is of great importance to the company. The responsibilities of the clerical position include accurate record keeping and filing. Staffing the reception area, and other administrative tasks may be assigned as required. Familiarity with office equipment and certain software programs is also essential. Complete confidentiality in the areas of company operations is necessary. Clerical personnel will be required to maintain all equipment needed to perform their duties in this position.

In addition to the duties relating to the main objectives of the clerical / reception position as noted above, personnel responsible for clerical and reception tasks will be required to carry out the following tasks as part of their regular duties.

  • Telephone reception.
  • To be responsible for Accounts Receivable and Accounts Payable.
  • File and maintain corporate information  in an accurate and organized manner.
  • Carry out custodial duties in administrative areas in order to maintain the cleanliness of the department.
  • Tracking, in a data base program, the production, distribution and updating catalogue information.
  • Management and tracking, using a data base program, of promotional products inventory and distribution.
  • Backup main and banking duties as required.
  • Other duties as may be assigned.

Required Skills:  Highly effective customer relations skills; effective interpersonal and communications skills, both written and verbal; demonstrated effective organizational and time management skills; maintain attention to detail; proven ability to handle high volume with accuracy; must be an effective team player; ability to work with minimal supervision; proficiency with computers and software applications including MS Word, Excel, and the ability to learn new systems and tasks in a fast-paced environment would be considered an asset.
